Join our team at the Herman Ostrow School of Dentistry of the University of Southern California (USC) as an Academic Records and Registration Coordinator. In this role, you will play a pivotal role in ensuring the accuracy and completeness of student records, supporting students in meeting their degree requirements, and contributing to the efficient operation of our academic processes.
Job Accountabilities:
As the Academic Records and Registration Coordinator, you will have the following key responsibilities:
Degree Progress Reporting: Prepare and maintain accurate degree progress reports for dentistry students. Ensure that students are on track to meet their degree requirements, and provide them with necessary guidance.
Student Support: Offer information and guidance to dentistry students pertaining to the successful completion of their degree requirements. Address questions and concerns related to registration, transcripts, degree certification for licensure, and more.
Student Records Management: Update student records within the university system, including registration, degree progress, and graduation statuses. Generate relevant reports related to student records and ensure that all updates are accurately reflected.
Communication and Assistance: Respond to inquiries from students, faculty, and staff regarding various registration and academic matters. Assist in tasks related to the student evaluation committee, academic status updates, senior award coordination, and meeting scheduling.
University Policies and Procedures: Maintain a comprehensive understanding of university policies and procedures concerning registration, degree progress, petitions, and graduation. Ensure compliance with these policies while assisting students.
Student Concern Resolution: Communicate with students about concerns or updates regarding degree requirements. Direct students to appropriate departments for resolution when necessary.
Process Improvement and Backup Support: Collaborate with the team to enhance departmental policies and procedures. Provide backup support for the supervisor and offer coverage at the front desk when needed.
Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Exceptional communication skills for interacting with students, faculty, and staff.
- Familiarity with university systems and databases.
- Ability to handle sensitive information with confidentiality.
- Knowledge of academic policies and regulations is a plus.

The hourly rate range for this position is $23.54 - $27.00.
